Set Up Phone Reporting

The action of a phone reporting means that the phone is calling the payphone management system, in this case, Panorama. This is the same thing as polling, except that it originates with the phone instead of Panorama. Phone reporting is set up in the options record that is assigned to the phone, and can be configured to send periodically and/or when a flag or alarm is set.

1. Open a phone record by clicking on the Phones & Customers button in the Navigator or the Navbar.

If the Phone window has not been chosen to open in the Preferences, then either the Quick View window or the Phone List window will appear. In either case, these windows may be used to find the desired phone record. Search records by field in the Quick View window, or search records by Location Name/Description field in the Phone List window. When either method is used, the Phone window will open with the desired phone record displayed.

2. Now, click on the Assignments tab in the Phone window.

3. Right-click on the Current options record and select Edit from the pull-down list that appears. The option record that is currently assigned to that phone now opens.

4. Click the Reporting & Polling tab. The Phone Reporting section is the one that we are interested in at this point.

5. In the Reporting # field, enter the phone number that the phone calls to reach Panorama (the phone number of the Protel modem connected to your computer). If you have multiple lines that automatically route calls to the next available line, enter the originating number.

6. Set the Time of Day for the report, in 24-hour format (1:00 AM= 1, 1:00 PM = 13, Midnight = 0). The last two digits of the phone number determine the number of minutes after the hour specified that the phone will report. If the last two digits are greater than 59, 60 will be subtracted from them to determine the time (ex. 588-8792 will report at 32 minutes after the hour specified).

7. Set the Number of Days Reporting; the phone will report every x number of days (0 = Disabled)

8. Set the Day of Week Reporting field. This will set the phone to report every week on the x day (1 = Sunday, 7 = Saturday, 0 = Disabled)

9. Set the Day of Month Reporting field to make the phone to report every month on the x day of the month (0 = Disabled).

10. Setting the Cash Box Volume will set the phone to report when the coin level reaches x% full. Refer to the Peg Count/ Inactivity table to learn how to set this field to reach the desired results.

11. The Number of Days Before Full field tells the phone to determine how many days will pass before the cash box is full, based on its current use, and call in x number of days before the box is full.

12. Click Save.

Now that you know when the phone will be reporting to Panorama, tell Panorama what polling actions to do when the phone calls:

13. Open the phone window again and select the desired phone.

14. Click on the assignments tab. In the bottom left of the window, select a polling action from the Incoming field.

Now the phones that use the option record will report on the days and times set in the options record. During the poll, they will perform the polling actions set in each phone record.
