Create a New Phone Record

When expanding your business by adding more payphones, it is sometimes necessary to create a new phone record. If the new phone(s) will have similar configurations to any phone already in use, it is more convenient to make a clone of the similar, pre-existing phone record and make the few minor changes necessary. Creating a new phone record is useful when there are so many differences from the other phones that it would be easier to just start fresh. Open the Phone window by clicking the Phones & Customers button in the Navigator or Navbar, by double-clicking a Phone record in the Quick View window, or by selecting a phone record in the Phone List window and clicking Select (or just by double-clicking the phone record).

1. Click the New Record button.

2. In the window that appears, fill in the new Phone # and select the Time Zone for the new phone.

3. Click OK.

A new record has been created.

4. Now, in the General tab, make selections from the four User Definable Categories, as appropriate. The information for all of the other fields in this tab is obtained when the phone is polled or reports.

5. In the Assignments tab, select Cost, Call Processing, Options, and Firmware records for the phone to use. This information is downloaded to the phone automatically the first time the phone is Polled or Reports with a Polling Actions record that has the Update Parameters and Update Firmware actions checked. These options can be left checked ñ Panorama only performs these actions if a change has been made. If a change has been made but the actions are not checked, they will not be done.

6. In the Location & Customer tab, fill in the Location Information (the physical location of the phone) and the Customer Information (personal information on the person or company that owns the place where the phone is installed).

The Auth Codes tab is mainly used for backward compatibility with ExpressNet. It is generally not used for new records. If entries are made here, make sure that Route assignments do not override entries made in the Auth Codes tab. Refer to the Auth Codes topic for more information.

7. In the Miscellaneous tab, make notes on the type of equipment used at the phone, and enter any other pertinent information.

8. Click Save.

All of the information in the Electronic Serial # tab is obtained automatically when the phone is polled or reports. This security information cannot be edited.
